Contract and Invoicing...
CONTRACT MANAGEMENT
CIS allows the contracting organization to enter contract information that will
then automatically generate invoices. This information is permanently retained and
can easily be modified throughout the life of the contract without compromising
the integrity of the agreement.
CIS can account for various types of contracts ranging from very simple to extremely
complex. Simple: provides for completion of a short term inexpensive task.
Complex: provides for salary costing with additives on a multi-million dollar contract.
Features include:
- Easy, self-explanatory navigation
- Flexible naming conventions
- Importing and exporting of data
- Detailed tables allowing payment of goods and services
- Standard salary additives such as Overhead, Profit Margin, FCCM and Expense
- Flexible methods of payment to accomodate fixed price, reimbursable or combination
contracts
- Accommodates complex accounting and contracting methods
- Ease of amending or correcting contracts
INVOICE MANAGEMENT
The CIS invoicing module allows the designated consultant and subconsultants to
generate and transmit invoices for goods and services performed under contract.
This web application provides a standard, easy to understand format. Features include:
- System generated sequential invoice numbers
- Point and click selection of pay items
- Costs, rates, projects and schedules based on contract terms
- System retained previous billing and available budget
- Automatic calculations - no mathematical errors
- Easily tracked invoice status from creation through final payment
- Paperless electronic submission
- Clear and distinct web page navigation
- Easily accessible subsections within the integrated contract module
WEB DATA
CIS web pages have been designed to eliminate "overcrowding". Many web pages
have "show" or "hide" buttons. The show button displays items that users need
to work with temporarily in the web page (such as adding data or displaying a secondary
list). Once work is completed in these areas items may then be hidden from
view.
Also, System Engineering Design understands the need to import data from and export
data to external systems. This is accomplished through the creation of text delimited
files.
IMPORTANT FEATURES OF CIS
Realizing that no two organizations are alike, System Engineering Design, LLC has
developed CIS with the scalability and flexibility to meet your needs. Designed
to work for you, CIS also delivers:
- Multi-level user access
- View-only capability for independent auditors
- Reporting capabilities
- Data import/export for accounting and job costing systems
- User training
Some exporting of data is included with the Consultant Invoicing System. However,
since the system captures a large quantity of contract and invoicing data an agency
may desire to export other data as well. Normally, we provide system
data in the form of a text file (txt) or extensible markup language file (xml).
This enables the customer to load the data to a database, spreadsheet or
the mainframe; then they may tailor the data to their reporting needs. However,
System Engineering Design also provides static reports upon request.
